## Summary

Nottinghamshire Police is procuring a uniform, inventory and asset management solution to manage, track, issue, return and report on uniform, personal protective equipment, operational equipment, consumable products and other organisational assets. The requirement is for services, classified under CPV 48420000 as facilities management software and software suite services. It covers a proven commercial off-the-shelf system plus implementation, configuration, data migration, training, support and maintenance. The system will be used by the police authority in Nottingham, with delivery associated with Sherwood Lodge, Nottingham, and the wider East Midlands area. Deployment may be delivered as software as a service, on-premise, or through a hybrid model, depending on the proposed solution and the authority’s requirements.

The procurement has reached tender: the buyer invited offers through an open procedure below the threshold. Bids were required by 12 October 2026 at 12:00. The contract period is 1 November 2026 to 31 October 2029. Its estimated value is between £90,000 and £180,000, in total over the procurement. The contract covers the software solution and associated implementation and support services. The authority’s required system capabilities include inventory management, self-service functions, role-based entitlements, workflow approvals, asset lifecycle management, reporting and analytics, barcode or QR-code tracking, and integration with authority systems where required. The opportunity is identified as suitable for small and medium-sized enterprises. Full requirements are set out in the procurement documentation.

This opportunity suits software providers and specialist implementation partners with a commercially established inventory, uniform, equipment or asset management product. Strong candidates will be able to configure and deploy a commercial off-the-shelf platform, migrate existing data, train users and provide dependable support and maintenance. The solution must handle controlled issue and return processes, stock and asset tracking, consumables, entitlement rules, approval workflows and complete asset lifecycles. Experience of barcode or QR-code technologies, management information, analytics and integrations with public-sector or other organisational systems will be relevant. Suppliers should be able to offer software as a service, on-premise or hybrid deployment and demonstrate the operational maturity needed to support a policing organisation. The requirement is suitable for SMEs with the necessary product and delivery capability.
