## Summary

The British Film Institute (BFI) has completed a public procurement process for the digitisation of approximately 7,360 folders of business records, known as 'donor files'. This contract falls under the services category, specifically for scanning services, and took place at the BFI's Conservation Centre located in Berkhamsted, Hertfordshire (HP4 3TP). The procurement was conducted via an open procedure, with a contract period running from 23 August 2017 to 31 March 2018, and the tender period had a deadline of 10 August 2017. The awarded contract, which was valued at £10,259.55, was issued on 30 October 2017 to MISL Limited, who fulfilled the requirements outlined in the tender documentation.

This tender represents a significant opportunity for businesses specialising in digitisation and document management services. Companies that can offer advanced scanning capabilities, efficient logistics for handling large quantities of documents, and a strong understanding of preservation standards would be well-suited to compete in future contracts of a similar nature. Small and medium-sized enterprises (SMEs) and voluntary community and social enterprises (VCSEs) are particularly encouraged to engage, as such initiatives often aim to promote inclusivity within the supply chain.

## Notice

The BFI wishes to digitise circa 7360 folders of business records known as 'donor files' - a collection of paper-based documents dating from 1930s to the present day. These documents are retained in new A4 non-preservation standard card folders. Each folder is labelled with a unique barcode. The estimated number of sides for all 7360 files is 292,928. The files are currently stored in 185 bankers' boxes - in general office storage - at BFI's Conservation Centre in Berkhamsted, Hertfordshire, HP4 3TP. The successful contractor will collect the records from BFI Conservation Centre, transport them to their facilities, scan each document containing images and/or text, return documents to their folders and transport the folders back to their storage room at BFI Conservation Centre.
