## Summary

The Northumbria Police is seeking potential suppliers to submit a tender for a Records Management System. The procurement process involves an eight-year agreement with a possible extension of up to two additional twelve-month periods. The total contract duration will not exceed ten years. The tender's value is £8,000,000, and the minimum value is £5,000,000. The procurement method is an open procedure, and the tender deadline is 4th September 2023. The contract period will start on 1st November 2023 and end on 31st October 2033. The procurement falls under the goods category within the Software package and information systems industry category located in the North East, United Kingdom.

This tender from the Northumbria Police presents a lucrative opportunity for businesses, especially those involved in software packages and information systems. Small and medium-sized enterprises (SMEs) are particularly suited to compete in this open procedure tender. Businesses capable of providing a modern and integrated Records Management System that aligns with national standards and supports data sharing capabilities will find this opportunity particularly relevant. The tender's substantial value and potential for extension make it an attractive prospect for businesses looking to secure long-term contracts within the law enforcement sector.

## Notice

Northumbria Police (The Force) wishes to invite Potential Suppliers to submit a tender for the provision of a Records Management System. The Force currently use an in house developed system (NPICCS) for Records Management functionality which covers most aspects of policing other than incident management. Although the system is fully integrated adhering to POLE principles, it is built on ageing technology and the user interface and experience is dated and it is proving increasingly difficult to keep the application up to date with national changes. The force is seeking a more modern platform that provides opportunities to integrate with other systems, maximise future data sharing capabilities with partners and supports the force ambition to be more data led. The agreement will be for an initial eight year period, with an option to extend for up to a further two, twelve month periods, subject to satisfactory contract performance and the Force still having the need and funding for the Contract. The extension period will be in twelve-month cycles. The total contract duration will not exceed ten years. Full details of the requirement can be found in the attached Invitation Tender documentation.
