## Summary

The West Yorkshire Fire & Rescue service is seeking proposals for the provision of a new Medical Records System, with the tender currently in the active stage and set to close on 5 November 2020. Located in Bradford, specifically at BD11 2DY, this initiative falls under the services category, classified as a medical software package (CPV code 48180000). The procurement is conducted through an open procedure below the threshold, aiming for a contract period from 1 December 2020 to 30 November 2027. Interested suppliers are encouraged to review the associated tender documentation for more detailed requirements and specifications.

This tender presents a valuable opportunity for businesses specialising in medical software solutions, especially those with experience in developing GDPR-compliant systems. With West Yorkshire Fire & Rescue emphasising a smooth transition and collaboration with their Occupational Health Unit and IT departments, companies that can demonstrate innovation and user-friendly interfaces will be particularly well-suited to compete. Small and medium enterprises (SMEs) are encouraged to participate, as the procurement is favourable to their involvement in providing effective health management systems for first responders.

## Notice

WYFRS currently employs 1400 staff based at various sites across West Yorkshire. The bulk of these staff are operational firefighters with the remainder consisting of support staff. Looking after the health and safety of our staff is very important to us. Upon recruitment all staff need to undertake medicals. Some medicals are more detailed than others due to nature of roles, e.g. firefighters. Following recruitment all operational staff are required to undertake health screening every 3 years, with more frequent health surveillance in place for higher risk roles. Sickness monitoring is also managed through the unit on an on-going basis. Recording this data and being able to retrieve this securely is important for the Occupational Health Unit (OHU) within WYFRS. OHU's current system has been in place for over 10 years and provides limited functionality and is not compliant with GDPR. WYFRS is looking for a new system that is user friendly, which meets the needs of WYFRS and is GDPR compliant. Transferring of existing employee medical data onto the new system will be a key requirement of the new Supplier. The Supplier will be required to work closely with WYFRS OHU and ICT (Information Technology) departments to support a timely and smooth transition whilst meeting the needs of WYFRS. Additional information: Please refer to ITT Documentation. Is a Recurrent Procurement Type? : Yes
