## Summary

The Royal Botanic Gardens, Kew (RBGKEW) has initiated a public procurement process for the "Enhancing the Visitor Experience - The 'EVE' Programme". This programme aims to streamline operations and improve the visitor experience by integrating various technical infrastructures and solutions. The procurement is classified under the services sector, specifically focusing on software packages and information systems, with a total contract value of £1,500,000 and a contract duration of four years, starting from November 19, 2020, with a potential two-year extension. The tender period concluded on July 27, 2020.

This tender represents a significant opportunity for businesses specialising in software solutions and information systems to collaborate with a prestigious organisation like RBGKEW. Companies capable of delivering integrated technology solutions that enhance operational efficiency and visitor engagement would be particularly well-suited to compete. With the emphasis on creating an enhanced visitor experience through innovative and efficient systems, this contract may attract suppliers who can provide scalable, high-quality technological services.

## Notice

The EVE programme provides Royal Botanic Gardens Kew (RBGKEW) with a number of opportunities to grow its revenue streams and to achieve operational efficiencies through improved and streamlined ways of working. RBG Kew, however, currently finds itself with an extensive aging technical infrastructure and several operational solutions that cater for the needs of certain teams/audiences but do not meet the needs of the organisation as a whole. Many of these processes can be manual which compromises data availability, quality and its accuracy. This means we do not understand the extent or volume of interactions our visitors have with us and we cannot see or react to commercial opportunities. The visitor experience at RBG Kew is also disjointed and unsatisfactory as a result. This organic progression has led to a disparate technical landscape with varying commercials in place with multiple suppliers. Rather than attempting to replace individual systems in silos the intention is to deliver a single integrated landscape that will enable phased delivery of business capability over a period of time. The period of the contract is intended to be 4 years across multiple phases. It may be extended by RBG Kew for up to 2 years, renewable annually i.e. 1+1 years.
