## Summary

The West Mercia Police is currently in the tender stage for procuring a new Computer Aided Facilities Management (CAFM) System to enhance the delivery of Estates Services for both West Mercia Police and Hereford & Worcester Fire and Rescue Services. This procurement, classified under "Facilities management software development services" and related software packages, is an open procedure expected to close on 18th October 2024. The CAFM System is intended to be a cloud-based solution with extensive functionalities, including Asset Management, Help Desk/Reactive Call Management, and various other modules. The delivery location for this project is the West Midlands, United Kingdom, with the contract period beginning on 1st April 2025 and ending on 31st March 2034. The primary industry category is services, and this tender is particularly suitable for Small and Medium-sized Enterprises (SMEs), although it is not a recurrent procurement.

This tender presents an excellent opportunity for software development and IT service firms specialising in facilities management solutions to expand their business portfolio. Enterprises with expertise in robust, modern, and reliable cloud-based systems that require minimal supplier intervention for maintenance are well-positioned to compete. Given the comprehensive nature of the system's required functionalities—ranging from finance and contract management to health and safety and project management—businesses with a broad capability in developing and supporting versatile software packages will find this tender particularly advantageous for growth.

## Notice

The Authority is looking to procure a new Computer Aided Facilities Management (CAFM) System to support delivery of the Estates Services across West Mercia Police and Hereford & Worcester Fire and Rescue Services respectively. The CAFM System will be a cloud based system and provide the following functionality as a minimum: Asset Management, Help Desk/Reactive Call Management, Planned Maintenance, Estates Management, Stock Control, Purchase Requisitioning, Finance, Contract Management, Health & Safety, and Project Management. Therefore, the Authority is approaching the market to procure a new solution that can support the dynamic management of the land, property and estate portfolio, reduce the administrative processes currently in place within the service, and improve the customer experience for users of the system both internally and externally. As a minimum, the Authority expects that any replacement proposal would enable the Authority to fully control and maintain the application/system without the need for constant referral to the supplier. The system should be up to date - and maintained as such - in line with modern technological requirements. It must be a thoroughly tested, reliable, robust system that is supportive of business requirements. Additional information: All information contained within the tender documents. Is a Recurrent Procurement Type? : No
