## Summary

Northumbria Police is seeking a comprehensive Records Management Solution to replace their outdated in-house system. This public procurement process is currently complete and follows an open procedure, having reached its final award stage. The contract was awarded on 4th December 2018, with the contract period set from 2nd January 2019 until 1st December 2029. The procurement falls under the software package and information systems industry category and applies to locations across the United Kingdom and overseas territories.

This tender presents an opportunity for businesses specializing in software solutions, particularly those offering systems for records management and data integration services. Companies that excel at enhancing business processes and facilitating data sharing between partners would be particularly well-suited to participate. The collaboration will involve significant interaction to install, test, and optimise the new system, providing a platform for growth within the evolving public sector market.

## Notice

Northumbria Police currently use an in house developed system for Command and Control, and Records Management functionality. Although the system is fully integrated adhering to POLE principles the user interface is dated and it is proving difficult to keep up to date with national changes. As a result the Force has decided to go to market for a Records Management System, a separate exercise is underway to procure a Command & Control system. The Records Management System must meet business requirements, offer options to improve business processes, improve data sharing capabilities with partners, seamlessly integrate with other existing and new systems, including the new Command and Control system, whilst ensuring it is cost effective. It is expected that Northumbria Police will work with the successful suppliers to install, configure and test the new system, and review and enhance business procedures where required to take advantage of the improved functionality. As part of the scope Northumbria Police will complete a back records conversion migrating all data into the new system, it is expected the supplier will be able to offer tools and resources to support the back record conversion.
