## Summary

The procurement process led by Aston University involves the tender titled "631 - Travel Risk Software" in the services category. The aim is to implement a software solution to enhance the current travel risk assessment process by automating approvals based on travel policy criteria. The contract has a value of £75,000 GBP, with the tender closing on February 20, 2023. The contract period is set to start on April 3, 2023, and end on April 2, 2026.

This tender presents a significant business growth opportunity for companies providing software packages and information systems. Small and medium enterprises (SMEs) are particularly suitable to compete, given the nature of the project and the specified requirements. Businesses interested in providing solutions to enhance travel safety and security measures within organisations should consider participating in this tender to potentially secure a valuable contract with Aston University.

## Notice

Following a full review of the international travel approval process in 2019, a risk assessment process was implemented to record and analyse travel risks and a tiered approval was introduced. The International Travel Risk assessments are undertaken in an excel document which is based on traveller self-declaration and the relevant approver sufficiently understanding the risks to approve the travel. Whilst the current process is effective in identifying and mitigating travel risks, users do not always enter sufficient details and incorrectly rate travel safety and security risks. A software solution would ensure travellers covered all of the travel risk and approval could be automated based on Aston's travel policy and criteria Failure to implement this software package across the university could increase risks from incorrectly identified travel safety and security risks especially those around individual vulnerabilities and research activities.
