## Summary

The British Library is planning a procurement process for the replacement of its corporate Wiki system, hosted on-premises using Confluence software. The Library aims to evaluate alternative products and solutions due to Atlassian's withdrawal of support in February 2024. This Request for Information (RFI) is part of a market consultation exercise to inform future procurement decisions. The potential tender is at the planning stage, with a future notice date set for 1st September 2023.

This tender presents an opportunity for technology companies specialising in information systems and servers to bid for providing alternative Wiki solutions to the British Library. Businesses offering server hosting, database management, and collaborative software solutions may find this procurement process suitable for business growth. The British Library, located in London, UK, is actively seeking input from suppliers in the industry category of goods to shape their future procurement strategy.

## Notice

The British Library has used Atlassian Confluence since 2010 to provide its user audience with access to a corporate Wiki. We host Confluence on-prem and our current deployment is v7.16.5. In the last 12 months, 268 users have logged in to the Wiki to contribute or edit content and many more will have accessed information as readers. During the same period, edits have been made to approximately 90 team sites/spaces. The SQL database contains 22GB of data. The Wiki is a popular and important tool which allows users to create maintain and publish multimedia documentation, share information across teams and departments, and work collaboratively on projects. We host a live and a test installation of Confluence using Windows Server 2012 application servers and SQL Server 2019 instances. Atlassian are withdrawing support for on-prem installations of Confluence Server in February 2024 and the Library is keen to evaluate alternative products and solutions, which will enable us to maintain access to a Wiki for our user audience, beyond this date. The British Library views this RFI process as one potential route to inform the future procurement of the goods and/or services described. The information gathered under this RFI may be used to evaluate potential suppliers and service offers and produce a shortlist for invitation to tender. At this stage, no final decision has been taken on the precise procurement route to be followed. When submitting information, all organisations should note that this is not currently a tender opportunity but is part of a market consultation exercise aiming to ensure that the procurement route selected and the options ultimately developed for any procurement are properly informed.
