## Summary

The University of Birmingham has awarded a contract for the procurement of an IT Asset Management Solution. The tender, titled "IT Asset Management Solution", falls under the services industry category and the main procurement category is services. The procurement method used was a limited award procedure without prior publication of a call for competition. The contracting authority, THE UNIVERSITY OF BIRMINGHAM, is based in Birmingham, United Kingdom. The decision to choose ServiceNow was based on its ability to comprehensively meet the requirements, including monitoring Software-as-a-service applications not covered by other products. The procurement process reached its final stage with an award signed on 4th December 2023.

This procurement opportunity for an IT Asset Management Solution awarded to ServiceNow UK Limited presents a significant opportunity for businesses in the IT services industry, particularly those offering consulting, software development, and Internet support services. Companies well-suited to compete in this tender would need expertise in IT asset management solutions, including hardware and software asset management. The contract with potential for extension aligns with another existing contract, creating further business growth potential for organisations able to provide comprehensive, cost-effective IT management services. Businesses with experience in monitoring and managing Software-as-a-service applications and a focus on cost reduction through effective license management would find this tender particularly suitable for expanding their service offerings.

### Lot Information

Lot 1

An exercise was completed to determine how to source the IT Asset Management Solution and the the direct model was preferred over a reseller option. ServiceNow was determined to be the supplier to fully meet the requirements. There is an existing contract with an expiry date of 31 July 2025 and the ITAM will be aligned with the existing contract with a co-termination date. Additional information: Traditionally, asset management solutions can only monitor usage and licenses for software that is installed on a device. ServiceNow will do this, but will also monitor SaaS applications accessed via a browser and the platform has extensive functionality for monitoring and managing SaaS usage. This will give insights into which SaaS applications are being used, and by whom which could flag any GDPR issues or any overlapping software. License management of SaaS applications should bring a reduction in costs and allow for better license management. Any over licensing will be flagged up either from built in integrations or using APIs.

### Procurement Information

The decision to choose ServiceNow is because it is the sole comprehensive source for our requirements ServiceNow allows us to monitor the usage of Software-as-a-service (SAAS) applications which is a capability not seen by other products.
