## Summary

Coventry University has finalised the procurement process for a Group Wide Enterprise Project Portfolio Management (PPM) Software, concluding with an award dated 5th December 2024. This procurement falls under the "Software package and information systems" industry category and involves the delivery to the UKG region. The open procedure method was used, and the contract was awarded to CAM Management Solutions Limited for a value of £187,933.33. The process, initiated to rationalise multiple project management systems into a single solution, aims to provide better oversight of projects, programmes, and portfolios across the university group, making it a cost-neutral initiative.

This tender presents significant opportunities for businesses specialising in software development and integration, particularly those experienced with large-scale project management systems. The awarded solution will enable the consolidation of numerous existing systems, providing comprehensive visibility and management across multiple projects, which is pivotal for organisational efficiency and strategic investment analysis. Companies with expertise in enterprise software solutions and project management applications are well-suited to compete for similar future tenders, particularly those offering innovative and cost-effective solutions.

## Notice

This proposal is for the procurement of single Group Wide Enterprise Project Portfolio Management (PPM) Software that can be used for management and reporting of projects, programmes, and portfolios. The Strategic Programme Management Office (SPMO) and Digital Services have identified at least ten systems being used across different business areas. This proposal therefore looks to rationalise this approach into a single solution enabling greater visibility of the portfolio across the Group. Through the retirement of current systems and the procurement of a single solution, this will be a cost neutral exercise. Not only is a PPM vital in the provision of essential information but also serves as a system to understand investment and viability to all projects. Such a tool could therefore be invaluable in ensuring the Groups investments are financially sustainable as we make progress to achieving the 2030 strategy. Please note this a 2+1+1 contract term.

### Lot Information

Lot 1

Recent financial challenges across the group have led to a review of all software. It is clear that the group use too many project management solutions and do not have a centralised view for all projects, associated risks and costs. Systems are in the excess of 10 when capability can be easily consolidated with a more mature solution. The intention is that we go out to market for a single solution with all areas across the group. Led by BRT with support form Digital Services to select a new group PPM platforms and retire other systems to make it a cost neutral exercise. Not only is a PPM vital to the provide essential information to the group but also serves as a system to understand investment and viability to all projects undertaken across Coventry Unviersity Group.

Renewal: One plus year at the discretion of Coventry University. Total contract terms is 2+1+1 years
