## Summary

The Trustees of the British Museum are seeking to procure a new Fundraising Customer Relationship Management (CRM) system through an open procedure. The contracting process is currently in the tender stage, with the Contract Notice having been published on 30th September 2024 and submissions due by 4th November 2024. The procurement is specifically targeted within the industry category of goods, focusing on Customer Relation Management software packages. The successful bidder will be responsible for configuring the new SaaS fundraising CRM, migrating data from the old system, and providing ongoing support. The estimated contract value is £500,000, and the location for delivery and implementation is in London. Interested parties are required to sign a Non-Disclosure Agreement (NDA) to access the tender documents due to the confidential nature of the information involved.

This tender represents a significant opportunity for businesses specialising in SaaS solutions, CRM development, and data migration services. Small and medium enterprises (SMEs) with expertise in these areas will find the project particularly advantageous, given the long-term contract duration of up to six years. The new CRM system for the British Museum will serve a crucial role in managing donor and membership relations, enhancing web-based sales channels, and supporting corporate sponsorship and philanthropy projects. Companies capable of offering robust support services and compliance with data security standards are well-suited to compete for this contract, potentially enhancing their portfolio by partnering with a prestigious cultural institution.

## Notice

The British Museum is looking to replace its Fundraising CRM system. The CRM is critical tool for managing engagement with the Museum's supporters and prospects, which includes its Membership base. The CRM acts as a central database for supporter/prospect information and supports the web-based sales channels for memberships and event tickets, thereby providing both internal and external facing components. The scope of the procurement includes: a) configuration of a new SaaS fundraising CRM to meet the British Museum's requirements associated with philanthropy, corporate sponsorship, membership and events, b) migration of CRM data from the existing on premises solution to the new SaaS CRM c) ongoing support for the new fundraising CRM. The estimated contract value is based on maximum contract duration of six years (three year initial term with up to three further one year extensions) and assumptions relating to the number of records that will be stored in the CRM, and the number of unique users over that period so should be treated as indicative only.
