## Summary

The Scottish Police Authority is planning a procurement process for an Estates Asset Management System. This project, identified by the tender ID "PROC 23 2290", falls under the software package and information systems category and is valued at £320,000. The procurement aims to acquire a PASF Public or Private Cloud Estate & Property Management System to modernise the Authority's extensive property estate, encompassing over 450,000 m² across more than 300 locations in Scotland. The tender is in the planning stage, with key dates including a future notice date set for 26 November 2024.

This tender represents a significant opportunity for companies specialising in cloud-based asset management systems. Businesses experienced in providing comprehensive database solutions capable of modular and incremental implementation will be particularly well-suited to compete. Organisations that can offer systems ensuring operational effectiveness, statutory compliance, and cost efficiency across complex property portfolios are encouraged to participate. SMEs or larger firms with a track record in public sector property management systems stand to benefit from engaging in this procurement process and potentially securing a long-term relationship with Police Scotland.

## Notice

Police Scotland is seeking an asset management database system capable of supporting the fullest functionality across a wide range of asset management activities. It needs to be capable of being implemented in an incremental, modular way to reflect Police Scotland's priorities. The system is expected to hold a full record of Police Scotland's ownership including leased-in assets and be used for the management of Police Scotland's operational and commercial property portfolio. Police Scotland's aim is for an asset management service which is effective at a strategic, operational and technical level that can ensure the organisation's portfolio is operationally effective, statutory compliant, fit for purpose, and cost efficient.
