## Notice

This Prior Information Notice (PIN) is to advise prospective suppliers of the upcoming market engagement for Enterprise Asset Management software to manage the Tramway assets owned by the South Yorkshire Mayoral Combined Authority (SYMCA) and to invite them to participate in a pre-tender market consultation exercise. The aim of the exercise is to provide early information and gain feedback to help inform the proposed procurement and contracting strategy.

The South Yorkshire Mayoral Combined Authority (SYMCA) requires an Enterprise Asset Management System (EAMS) to provide the tool for seamless and integrated planning, implementation and reporting for asset management and control across the Tram System assets, which cover fixed (e.g. buildings), mobile (e.g. rolling stock) and linear (e.g. track infrastructure) assets. It is therefore a general purpose system that can be customised for work processes to specific classes of assets. The South Yorkshire Mayoral Combined Authority (SYMCA) is a formal partnership of councils that shapes policy and leads on decision-making. Formed in 2014, the constituent members of the Mayoral Combined Authority are Sheffield, Rotherham, Barnsley, and Doncaster councils. SYMCA own the South Yorkshire Supertram System, which commenced operation in 1994. SYMCA is now embarking on wide ranging renewal programme of Supertram that will see significant investment and improvement across all aspects of the system over the coming years. Objectives The South Yorkshire Mayoral Combined Authority (SYMCA) requires an Enterprise Asset Management System (EAMS) to provide the tool for seamless and integrated planning, implementation and reporting for asset management and control across the Tram System assets, which cover fixed (e.g. buildings), mobile (e.g. rolling stock) and linear (e.g. track infrastructure) assets. It is therefore a general purpose system that can be customised for work processes to specific classes of assets. Current Environment The Asset Management System will replace the existing legacy system. The current system hierarchy and operational routes are illustrated separately, consisting of: 1) 32 Siemens/Stadler vehicles 2) Infrastructure including: a) Track and trackslab. b) Overhead lines. c) Substations. d) Tramstops. e) Communication Systems. 3) Nunnery Depot inc. Control Room. 4) Buildings. 5) 4 x Operational lines. Trams are powered through an overhead catenary system using a 750V DC supply, power is supplied through 12 sub-stations. There are currently 50 tram stops consisting of platforms, shelters, seats, lighting, CCTV and intercom links. Park & Ride sites along the route support access to the system. The track consists of embedded street track and traditional ballasted track. The telecommunications systems include radio, PA system and depot CCTV. Structures located along the route including overbridges, under-bridges, tunnels, retaining walls and culverts. Maintenance is carried out at Nunnery depot holding lifting jacks, cranes, yellow plant and support vehicles and the bulk of spares and tools. Drivers operate the trams manually through a combination of line of sight working and signals along the route. Rolling stock and Infrastructure maintenance is usually undertaken in house. Network operations are managed from the control room located in Nunnery Depot. The control room staff are responsible for ensuring the smooth running of the trams in accordance with the operational timetable and managing out-of-course events. Their responsibilities include keeping a log of operational activities and recording data on any shortfalls in delivery of the timetable. They are responsible for responding to faults and reporting them to the relevant department for response and repair. A daily report is produced based on the log entries which includes key information about the day's service. Operation and maintenance are supported by functions including HR, admin, Quality, Health, Safety and Environment (QHSE).
