## Summary

The UK Home Office is currently in the planning stage of a procurement process for a Preliminary Market Engagement (PME) focused on Desk Booking Tools and Desk Occupancy Sensor Systems. The goal is to find solutions that are web-based, user-friendly, and compliant with WCAG standards, with capabilities for live data reporting and workplace optimisation. This engagement session will take place from 23rd to 27th June 2025 at a specified Home Office location in the UK, and interested suppliers must express their interest by 10th June 2025. This potential procurement, with a value of up to £840,000, falls under the services category and aligns with facilities management. The Home Office operates under the legal framework of the UKPGA 2023/54, making this a significant opportunity for central government public authority contractors. Interested parties are encouraged to participate via the official Home Office eSourcing Portal or by contacting the designated email.

This preliminary market engagement offers a strategic opportunity for businesses specialising in software package and information systems, particularly those involved in facilities management software and sensor technology. Small and medium-sized enterprises (SMEs) capable of providing scalable software support services are well-suited for this tender. By participating, suppliers can influence the scope of the procurement and align their solutions with the forthcoming potential government contract, fostering innovation in workspace optimisation and enhancing hybrid working environments. Such businesses could see substantial growth by developing systems that integrate energy-efficient desk occupancy solutions, thereby supporting the Home Office’s effort to improve employee experience and workspace efficiency.

The solution should be able to support workplace optimisation across Home Office locations in the UK. The supplier should be capable of providing a scalable Desk sensors solution that functions on secure physical sensors fitted to assets that records heat/motion only, reporting data to the cloud via 4G/5G. The occupancy data should be able to combine with desk/room booking data via an online tool to enable us to analyse historical (and where possible real-time) data via a set of user customisable reports and dashboards. This pre- market engagement will help inform the Home Office explore innovative solutions that enhance workspace utilisation, improve employee experience and support hybrid working strategy. Home Office accepts no liability for any costs incurred by Suppliers as a result of attending the engagement event.
