## Summary

The University of Exeter is currently in the planning stage of a procurement process focused on developing a digital Facilities Management System to support and enhance its research facilities. This initiative aims to replace existing disparate systems with a centralised solution integrating various functionalities such as space booking, asset tracking, maintenance, and cost recovery. The project is located in Exeter, UK, and falls under the services and goods industry categories, specifically targeting facilities management software development and services. Key dates include a market engagement milestone scheduled for 13th June 2025, with future communications planned for September 2025, and the contract period expected to start on 1st October 2025, lasting until 30th September 2028. The value of the contract is estimated at £300,000, with a gross amount of £250,000 in GBP.

This tender represents a substantial opportunity for businesses specialising in facilities management software and services. Companies that can offer flexible, scalable, and user-friendly digital solutions, especially those with experience in higher education and laboratory management systems, stand to benefit significantly. SMEs are particularly encouraged to participate, as the procurement process is designed to be inclusive of smaller enterprises. Given the focus on integrating with wider university digital and sustainability goals, suppliers with innovative approaches that support these objectives will find this tender a potential avenue for business growth and sector leadership.

## Notice

The University of Exeter currently has a number of diparate systems managing our extensive Research Facilities with combined functionality covering areas such as; space booking, asset tracking, maintenance, cost recovery, with many other facility management processes handled locally and manually across differing areas. With several of these existing solutions nearing end of Contract, the University has a time-sensitive opportunity to rethink its approach. Rather than replace like-for-like, we are seeking to implement a centralised, digital Facility Management System that streamlines operations, enables robust cost recovery, supports strategic planning, and improves the user experience for both internal and external stakeholders. This early market engagement exercise seeks to identify potential suppliers who can provide a flexible, scalable, and user-friendly solution aligned with the University's wider digital and sustainability goals. We are particularly interested in systems that are able to integrate well with other commonly used Higher Education/laboratory management platforms, and suppliers that have a proven track record within the sector.
