## Summary

The National Museum of the Royal Navy is planning to procure facilities management software and support services, as detailed in the recently published Planned Procurement Notice. This procurement process is in the planning update stage and targets an open competition method, anticipated to engage small and medium-sized enterprises. The initiative, with a gross contract value of £180,000, focuses on programming services for application software to enhance the management of physical assets across NMRN sites. Key activities such as software demonstrations are scheduled for the afternoons of 4th, 11th, and 18th September 2025, with the tender period ending on 9th February 2026. This opportunity, under the legal mandate UKPGA 2023/54, facilitates potential suppliers to contribute towards the efficient, safe, and cost-effective operation of museum facilities located in Portsmouth and across the UK.

This tender provides a significant opportunity for businesses specialising in application software for facilities management. Companies offering innovative solutions to streamline and optimise asset management processes, enhance compliance monitoring, and support strategic sustainability goals are likely to be well-suited to compete. Organisations capable of delivering robust software solutions that extend asset lifecycles and improve operational visibility could benefit greatly. Given the open competition format, SMEs are actively encouraged to participate, presenting a pathway for smaller organisations to gain prominence and broaden their portfolio within the public sector, particularly by aligning their offerings with the National Museum of the Royal Navy's strategic objectives.

## Notice

The purpose of this Planned Procurement Notice (PPN) is to inform potential suppliers of an upcoming opportunity to provide facilities management software and support services to the National Museum of the Royal Navy. The aim of using facilities management software is to streamline and standardise across the NMRN sites the management of physical assets, buildings and services to ensure they operate efficiently, safely, and cost-effectively. By automating key tasks such as maintenance scheduling, asset tracking and compliance monitoring, the software should enhance operational visibility and support informed decision-making. Ultimately, we want the software to reduce downtime, extend asset lifecycles, improve stakeholder satisfaction, and align facility operations with broader strategic and sustainability goals. The NMRN are keen to undertake demonstrations of facilities management software during this period to inform out future tender documentation. These are proposed to take place in the afternoon of Thursday 4th, 11th and 18th September 2025. The contract value at present is indicative, and will be informed further by the PPN. No supporting documents are available other than those on this advert at the time of issuing this PPN however clarifications or booking for demonstrations should be referred to tenders@nmrn.org.uk.
