## Summary

Denbighshire County Council is seeking to procure a hybrid mail and digital communication solution, primarily for its Revenues and Benefits service, with potential usage by additional council teams such as the Sundry Debt and Financial Assessment Teams. The tender, titled "Provision of a Hybrid Mail and Digital Communications Solution for Denbighshire County Council," falls under the industry categories of postal and telecommunications services, software package and information systems, and IT services. It uses an open procurement method and is currently in the tender stage. The contract is set to commence in September 2026, leading to a transition period to ensure the smooth running of business operations. Interested suppliers must submit documentation by 14th April 2026, with the enquiry period closing on 1st April 2026. The contracting process is covered by Welsh devolved regulations and is aimed at services above threshold.

This tender presents valuable opportunities for businesses offering software solutions, IT consulting, and innovative postal services. Companies equipped with out-of-the-box hybrid mail solutions and digital communication technologies that require minimal configuration can thrive in this opportunity. SMEs with a proven track record in similar projects, particularly those experienced in servicing local authority Revenue and Benefit teams, will find themselves well-suited to compete in this procurement process. Opportunities to engage with Denbighshire County Council during the planning phase indicate that the procurement process is open to innovative and modern technological solutions that align with the council's requirements for effective and cost-efficient communications.
