## Notice

Cadent is seeking information on solutions to support its Occupational Health function, including case management, confidential clinical records, appointment scheduling, and workflow management. The current system has been in place for five years and relies heavily on manual processes and workarounds. Suppliers are therefore invited to describe their organisation's capabilities and approach to addressing these challenges. Please note this is not a call for competition. Current State Cadent's current Occupational Health system is characterised by the following: Workflow and case management processes are heavily dependent on administrative input, with manual steps required to manage and progress cases High levels of manual effort are required to maintain records and manage workloads Reporting capability is limited, with outputs requiring manual extraction and manipulation Appointment booking and diary management require significant administrative input, with limited visibility of utilisation Confidential record keeping and report sharing rely on manual controls and processes Auditability and compliance are more difficult to demonstrate due to reliance on manual processes Data quality risks exist due to manual handling, and generating insights requires additional manipulation Future State (Target) Cadent is seeking solutions that deliver the following outcomes: Structured case management supported by configurable workflows, prioritisation and escalation Reduced administrative burden through automation, templates and improved visibility of work in progress Built-in dashboards and reporting capability with minimal manual intervention Integrated appointment booking and diary management to optimise utilisation Secure, role-based access to confidential records with controlled sharing and full auditability Clear audit trails and compliance controls aligned to GDPR and wider security requirements Improved data quality through structured data capture, enabling analytics and trend identification High-Level Capabilities Cadent is seeking information on supplier capabilities across the following areas: Data protection compliant confidential record keeping, including secure clinical case management, controlled sharing and audit functionality Workflow management capability to support task management, prioritisation, escalation and improved visibility of case status Appointment booking and diary management capability to improve scheduling efficiency and reduce administrative effort Management information and data analytics capability to provide performance reporting and enable identification of risks and trends Solution Outcomes Cadent is seeking solutions that: Reduce manual administrative effort and improve efficiency Provide reliable management information and operational insight Enhance compliance, auditability and data security Improve user experience for employees, managers and Occupational Health teams Support scalability and future service requirements Key Drivers Data protection and confidentiality, including alignment with UK GDPR Reduction in administrative burden and improvement in efficiency Improved workflow visibility and control Enhanced management information and insight Improved scheduling and utilisation Security assurance Service resilience and supportability

Through this Request for Information (RFI) exercise, Cadent is seeking to understand the market. Suppliers are invited to provide responses to the following:
1. System Overview and Core Functionality
Provide a high-level overview of your Occupational Health system, including how it supports:
Case management and workflow
Clinical record management
Appointment booking and diary management
Self-service capability for employees and managers
User interface capability, including interaction between Occupational Health, employees and managers, and any external access arrangements

Describe how your solution supports:
Configurable workflows, templates and assessments
Automated task management and case progression
Real-time case visibility and prioritisation

3. Records Management, Data Handling and Reporting

Maintain secure, structured clinical records
Retrieve and export records in a user-friendly format
Provide standard dashboards and management information

Provide a high-level overview of:
