## Summary

The Royal Household is procuring fire detection and fire alarm installation works, together with planned preventative maintenance, service provision and reactive repairs. The requirement covers replacement and commissioning of automatic fire detection and associated equipment across Windsor Castle Upper, Middle and Lower Wards, the Castle Control Room, Mews and Home Park, plus Kensington Palace Main Palace, ancillary accommodation and Old Barracks. The work is delivered across the Windsor and London estates. These are secure installations in listed and historic buildings, scheduled ancient monuments and other buildings of historic interest, many with public access. Installation projects will be managed separately from the maintenance and service activity, within one overall works contract.

The process has reached tender: the Royal Household invited offers through an open competitive flexible procedure. It uses two stages: a Procurement Specific Questionnaire will shortlist five suppliers, followed by written bids against the tender-pack criteria and an interview. Clarification questions are due by 17 September 2026 at 11:00, and tender submissions by 2 October 2026 at 11:00. The contract period is 1 March 2027 to 1 March 2030, with an option to extend by up to two years, to 1 March 2032. The estimated gross value is £1,115,000. Evaluation is weighted 55% commercial, 30% technical, 10% interview, and 5% environmental and sustainability. Electronic submission is allowed in English.

This opportunity suits fire protection and fire alarm contractors able to install, commission, maintain and provide reactive repairs for automatic detection systems and associated equipment. Suppliers will need to manage multiple installation projects alongside planned maintenance and service delivery, and to work safely and reliably in secure operational sites. Experience of listed buildings, scheduled ancient monuments, historic estates and premises with public access would be particularly relevant to the environment described. The requirement is identified as suitable for small and medium-sized enterprises and voluntary, community and social enterprises. It is therefore relevant to established specialist firms, including those with the operational capacity to coordinate work across Windsor and London and to meet the technical, commercial, sustainability and interview-based assessment.

## Notice

This contract relates to both fire alarm replacement works and the planned preventative maintenance and Service Contract. Installation works will be required to be undertaken within; 1. Kensington Palace - Main Palace, Ancillary Accommodation and Old Barracks The installation works must be completed including commissioning works prior to the end of the fixed contract period (3 years). The estate consists of a number of listed and historic buildings, scheduled ancient monuments and buildings of historic interest, many of which have some form of public access and all of which are considered secure installations.
