## Summary

The Department for Science, Innovation & Technology procured a 12-month applicant tracking system licence for the AI Security Institute, its technical recruitment directorate. The software manages complex recruitment by consolidating applicant records and supporting configurable workflows, forms and routing. It also provides interview scheduling, Microsoft 365 permissions and integration, improved reporting, and reduced manual document handling, spreadsheet dependence and processing errors. The requirement is for software and information systems, delivered for the department’s recruitment operations in London. The service supports existing recruitment activity and the continued use of configured workflows, forms, routing, permissions and integrations. It is therefore relevant to suppliers of applicant tracking, recruitment workflow and related cloud software services for public-sector technical recruitment.

The procurement is complete and the contract was awarded to Greenhouse Software, Inc. on 2 July 2026. The buyer used a direct award below the applicable threshold, without competition, and selected one supplier. The active contract runs from 7 August 2026 to 6 August 2027. Its value is USD 43,119 excluding tax, or USD 51,742.80 including tax. Greenhouse was selected because the live service already contains the required AISI workflows, forms, routing, permissions and integrations, and users are trained on it. The stated basis also considered continuity of recruitment activity and the risks of changing supplier, including data extraction, validated migration, rebuilding and testing, access-control changes, retraining and dual running.

This award indicates demand for a mature applicant tracking service that can support complex, technically specialised recruitment rather than basic vacancy administration. A credible competing supplier would need configurable workflows, forms and routing; consolidated applicant records; interview scheduling; reporting; and reliable Microsoft 365 permissions and integration. It would also need to demonstrate strong migration, implementation and service-continuity capability, since the requirement depends on established configurations, trained users and ongoing recruitment activity. Experience handling recruitment data securely, maintaining access controls and reducing manual document handling would strengthen a future proposition. Suppliers should be able to explain how they would transfer data, recreate integrations and workflows, test the service and support users without disrupting recruitment operations.

## Notice

The AI Security Institute, a directorate of fDSIT, required a 12-month Greenhouse applicant tracking system licence to manage complex technical recruitment. The service consolidates applicant records, configurable workflows, forms and routing; supports interview scheduling and O365 permissions/integration; improves reporting; and reduces manual document handling, spreadsheet dependency and avoidable processing error. Greenhouse was selected because the live service already contains configured AISI workflows, forms, routing, permissions and integrations, with users trained and recruitment activity dependent on continuity. Changing supplier would require termination activity, data extraction and validated migration, rebuilding and testing workflows/integrations and access controls, user retraining and likely dual running. That creates material delivery, data-protection and recruitment-continuity risk. The value is $43,119 for the service. This notice experienced delays of publishing, due to issues generating the Supplier PPON number (since rectified).
