The audio-visual lot covers hardware supply, system design, installation and integration, including Microsoft Teams Rooms, plus maintenance, support and equipment refresh. It also includes interim break-fix support for the existing estate and a staged refresh and migration from the EirGrid network to the SONI network, working with an implementation partner. The managed print lot covers the sale or lease of printers, setup and configuration, servicing, ink and toner replenishment, and end-of-life disposal. The indicative equipment estate comprises five multifunction devices, including one monochrome unit, and one A0 plotter, with finishing and multi-tray configurations. Services are centred on Belfast, with additional locations possible for audio-visual call-offs. SONI invited offers through a competitive flexible procedure, using a selective process. Suppliers may bid for one or both lots, but each is evaluated independently and one supplier can be appointed to each lot. Enquiries were due by 23 October 2026 at 12:00 and expressions of interest by 6 November 2026 at 12:00. The contracts are scheduled to run from 1 February 2027 to 31 January 2032, with an extension option of up to three years. The estimated value is £1.6 million for audio-visual services and £520,000 for managed print services, excluding VAT. Evaluation for each lot weights ultimate cost at 40%, previous experience at 20%, solution and approach at 15%, service levels and operating model at 15%, and risk and commercial model at 10%. The opportunity suits suppliers able to deliver workplace technology services for a public utility, and the lots are identified as suitable for SMEs. Audio-visual bidders need capability across equipment supply, design, installation and integration, ongoing maintenance and support, and phased estate refresh and network migration. Experience with Microsoft Teams Rooms and coordination with an implementation partner are directly relevant. Managed print suppliers should be able to supply or lease and configure devices, maintain them, replenish consumables, and manage disposal at end of life; account management, escalation and reporting are part of the service model. Both lots require evidence of recent, relevant delivery experience: bidders are asked for three comparable contracts. Proposals should set out the technical solution and operating approach, service levels and response arrangements, and how commercial risks, warranties and disposal will be managed. The print lot permits a supplier-chosen sale or lease model. ## Notice SONI is seeking to appoint a single Supplier per Lot under separate Contracts for the provision of Workplace Technology Services (comprising Audio Visual Services and Managed Print Services) for SONI's Belfast office, in full compliance with the UK Procurement Act 2023 (the "Act") and associated Procurement Regulations 2024. Tenderers may bid for one Lot or both Lots; each Lot will be evaluated and awarded independently, and the same Supplier may be awarded both Lots. ### Lot Information Audio Visual Services AV hardware supply, design, installation and integration (including Microsoft Teams Rooms), maintenance and support, and lifecycle/refresh, in accordance with Annex A. Services apply to SONI's Belfast office and, where called off, to any Additional Location. The Services additionally include reactive break-fix support only for the existing AV estate on an as-is basis from Contract commencement (estimated at approximately one year), an immediate partial refresh deliverable in advance of the SONI infrastructure and network, and completion of the refresh together with migration of the estate from the EirGrid network to the SONI network in collaboration with the Implementation Partner. Renewal: Option to extend by up to 3 years Managed Print Services Sale or lease of printers (Supplier's choice of commercial model) for SONI's Belfast office, with set-up and configuration, ongoing servicing, consumables (ink/toner) replacement and end-of-life disposal in accordance with Annex B. The indicative estate (5 MFDs including 1 mono, plus 1 A0 plotter, with finishing and multi-tray configurations) is set out in Annex B and priced in Form 5, Schedule B.
