## Summary

The Police and Crime Commissioner for Nottinghamshire is seeking a uniform, inventory and asset management solution for Nottinghamshire Police. The software must manage tracking, issue and return of uniforms, personal protective equipment, operational equipment, consumables and other organisational assets, with stock control, asset lifecycle management, self-service, role-based entitlements, workflow approvals, reporting and analytics, and barcode or QR-code tracking. Integration with police systems is required where needed. The procurement also covers implementation, configuration, data migration, testing support, training, ongoing support and maintenance, alongside related professional services. The buyer will consider software hosted as a service, installed on its own premises, or a hybrid of both. The work is classified as software implementation services (CPV 72263000) and will be delivered in Nottinghamshire.

The buyer invited offers through an open procedure. The deadline for enquiries was 30 October 2026 at 12:00, and bids were due by 4 November 2026 at 12:00. The intended contract period runs from 1 December 2026 to 30 November 2029, with up to three further years available through annual extensions, subject to performance, continued need, funding and approval. The estimated value is £200,000 excluding VAT (£240,000 including VAT). The contract is a single lot. Evaluation gives 60% to price, 30% to written quality responses and 10% to supplier demonstrations. Quality covers functionality and user experience, implementation and migration, security and continuity, support and improvement, and social value; demonstrations assess self-service, asset management, issuing and stock control, reporting, and security and configuration.

This opportunity suits software suppliers with a proven commercial off-the-shelf inventory or asset management product that can be deployed in live operational environments. The solution needs to support the day-to-day handling of uniforms, protective equipment, operational kit, consumables and other assets, including issuing, returns, stock control, user entitlements, workflows and barcode or QR-code tracking. Suppliers should be capable of configuring and implementing the platform, migrating data, supporting testing, training users and providing continuing support and maintenance. The buyer will assess system functionality and user experience, security, information assurance, business continuity, service management and continuous improvement, as well as social value. Demonstrations are part of the assessment. Applicants must show experience delivering comparable software and related services, provide at least two references for similar contracts, confirm the proposed solution is used by live operational customers, and detail relevant accreditations, certifications and professional capabilities. SMEs are considered suitable.
