## Summary

Peterborough City Council intends to procure catering and event management for its annual Bondholder Dinner, a black-tie networking event for local business leaders at Peterborough Cathedral. The evening is planned to include a welcome drinks reception with circulating canapés, followed by a three-course sit-down meal with meat and vegetarian options, ideally including vegan choices. The event team is expected to provide table service, tea and coffee after dessert, and a full bar where guests can buy drinks. The scope also covers tableware and linens, setting up the tables, chairs, place cards, menus and centrepieces, plus hiring, installing and dismantling catering equipment and marquees for an on-site kitchen and dinner service. Peterborough City Council will coordinate orders and dietary requirements with the event team.

This procurement is at the planning stage: the council has described its intention and is conducting preliminary market engagement; there is no invitation to tender yet. The council’s expected event date is 1 July 2027, with around 350 guests anticipated, although numbers may increase. The stated contract period runs from 5 April to 31 August 2027. The only stated procedure-related activity is an expression of interest for market engagement, with a planned date of 17 November 2026; this is an engagement milestone, not a tender submission deadline. The council says suppliers may suggest ways to help the evening run smoothly. No procurement method or evaluation basis is set out. The published estimated value is £0, so it does not provide a usable price indication for the work.

The council identifies the work as suitable for small and medium-sized enterprises, making it relevant to independent caterers and event companies as well as larger providers. Suppliers best placed to prepare will be able to deliver a formal dinner and reception for several hundred guests, coordinate service and dietary requirements, and manage food, drinks and a full bar. The scope also favours providers able to supply and staff table service, provide tableware and linens, prepare complete guest tables, and handle event furniture, catering equipment and marquees, including an on-site kitchen setup. The council will coordinate meal selections and special dietary needs and pass consolidated orders to the event team by agreed dates. It has invited suggestions, so suppliers with practical ideas for smooth delivery can contribute during market engagement. No specific accreditation or prior experience requirement is stated.
