The current process is time consuming, labour intensive and carries data security risks as well as a high carbon footprint. The department is required to reduce labour and transportation costs while at the same time assuring a robust transfer of data to all departments. There is a recurring requirement for this service, but a one-off capital investment in hardware and software, including configuration, is required to move towards having a fully digital mail room. A direct award to Pitney Bowes was required due to the specific requirements of the project. The hardware required could have been sourced through a number of suppliers, but we required a complex solution, for which the software was key. Pitney Bowes were the only supplier who were able to demonstrate their ability to integrate the hardware with semi-automated indexing of the output into both Civica EDM (the document management system used by both income and benefits) and Microsoft SharePoint.
