The requirement is for a new single database Leisure Management System. The system shall allow the use of mobile technology for staff i.e. online registers for coached sessions lessons etc., this shall also facilitate the recording of progression through a scheme (i.e. swim scheme) and shall link to a web based customer interface which allows parents/participants to see progress. The system should be able to report with ease, creating automated reports as required and shall allow us to monitor and record service use and trends by facility and by activity, we also want to be able to record and monitor customer satisfaction as well as demonstrating the impact of our services. Our requirements are as follows: -The supply, implementation and support of a Leisure Management System -The system must be a fully vendor hosted and managed solution -The system must be a PCI hosting service -The system must have a web based front end for system administration staff, staff users and customers -The system must allow us to make use of mobile technology (compatible with IOS 11 and above, and Microsoft Windows 10 latest version). Staff should be able to use devices to access class registers online and to mark progress of children through a coached activity. for example as each child in a swimming lesson reaches specific criteria, this can be updated by the coach and the child's record is then updated either in real time or at the end of the lesson when the information is uploaded. -All existing data contained within SCUBA on customers, direct debits, membership etc. must be migrated to the new system by the vendor. -The system must be able to hold multiple membership types staff must be able to use the system to amend and update these. -The system must be able to hold multiple membership types and provide the ability for customers to amend and update these online. -The system interface for staff must be optimised for mobile devices and be compatible with IOS 11 and above and Windows 10 when accessed via mobile device. -The staff user interfaces must support IOS11 and Microsoft 10 and above -The system must not require staff to use non-apple or Microsoft compatible devices such as Android to access the system -The staff system interface must be compatible with Microsoft Edge and IE11 and Safari -The staff system interface must not rely on the use of Chrome, Firefox or other Browsers -The customer user interface must be compatible with the following Browsers, Microsoft IE9 and above, Safari, Chrome, Firefox, Opera. -The customer interface must be optimised for mobile devices -The customer interface must allow the use of Android, IOS, Microsoft and Linux compatible devices to access the system -The system will provide native reporting on the points mentioned in requirement 11 creating bespoke and recurring automated reports as required for example: -We have to be able to report on attendances at each of our centres, we must be able to report attendance by activity, gender, age, facility -We must be able to report on our memberships (SEE Requirement 11) including how many memberships at each site, how many by gender; usage of membership etc. -We must be able to report on progression through our coached activity and on figures for leavers, e.g. how many swimmers left the scheme at each level, how many have completed the scheme, average time taken to complete all levels -Hosting, support and maintenance must be provided, including details of how Changes are managed, deployment processes, how customers are notified of updates, and how any incompatibilities with other software are communicated

Options: This contract may seek to increase the number of licences during this contract. Other items such as associated kit may also be purchased, if within scope.

Renewal: This contract may be extended for two periods of 12 months, following the expiry of the initial three year period.
