## Summary

The Supplier Development Programme is currently in the planning stage for a tender titled "Event Management and Virtual Event Delivery services," aimed at the services sector in the UK. The tender seeks innovative solutions for managing a hybrid event scheduled for early April 2022, following a communication notice on 13 January 2022. Businesses interested in this opportunity must respond to the planning phase, and the potential bidders are encouraged to explore fresh approaches to virtual and hybrid event management.

This procurement presents a significant opportunity for small to medium enterprises (SMEs) that specialise in event management and digital solutions. With the emphasis on flexibility and innovation, businesses that can deliver unique virtual engagements and effective hybrid event solutions will find themselves well-positioned to compete. The initiative is particularly suited for firms that can navigate the complexities of organising interactive events, leveraging technology to enhance audience experience while adhering to any restrictions arising from ongoing public health considerations.

## Notice

Due to potential, unpredictable restrictions on face-to-face events in response to the COVID-19 pandemic, SDP is seeking a flexible model solution to event manage a new event and is looking to attract bids from new market entrants, including small to medium enterprises and are keen to see what innovations they can bring for the management and delivery of virtual and hybrid events

### Lot Information

Lot 1

The Supplier Development Programme (SDP) is a local authority business support initiative, which aims to help SMEs improve their performance in winning contracts in the public sector, through offering information, support, and training events and to assist in navigating the complex tendering processes used in Public Sector procurement. Due to potential, unpredictable restrictions on face-to-face events in response to the COVID-19 pandemic, SDP is seeking a flexible model solution to event manage a new event and is looking to attract bids from new market entrants, including small to medium enterprises and are keen to see what innovations they can bring for the management and delivery of virtual and hybrid events Following publication of this PIN, SDP will be running a Quick Quote for a virtual platform and event management services for a Hybrid event to be held in early April 2022. This event will have a small-scale physical presence in the South of Scotland on the same day, which has been pre booked. The virtual part of the hybrid event should be planned, managed, and delivered in a very similar way to a live event which ensures that participants feel engaged and that the content incorporated is of the highest level. Included in the base price will be: -4 pre-recorded sessions with live hosted Q & A panels that incorporate questions from the live audience as well as online for a balanced experience. -A simultaneous stream, where the in-person speakers/agendas are broadcast with a simultaneous stream on virtual event platform, potentially the SDP social media channels, and/or embedded video on the SDP website. -Local and remote presenters will be supported, where remote presenters can interact with a live host in real time, after passing through a 'virtual green room' for final checks before going live. -Breakout sessions with the ability to host a main stage and multiple remote presenters--with video/audio chat, screen sharing, and slide presentations. -Virtual/hybrid 1:1 networking options with iPads/tablets that can be dotted around the physical networking area to allow the on-site audience interact with their online peers at the tap of a touch-screen. -Sponsor/exhibitor area where a virtual meet-and-greet for sponsors and exhibitors, such as through a video showcase (pre-recorded or live) alongside web links and contact information. -Live polling and Q&A where delegates to be given the ability to join in with real-time polling and live Q&A such as via mobile apps, social media, and/or call-ins. -An unlimited number of exhibitions to feature downloadable materials and one-to-one networking options, with an unlimited number of exhibitors at each stand and an unlimited number of supplier (attendee) registrations should be supported at the virtual event.
