## Summary

The Crown Office and Procurator Fiscal Service (COPFS), located in Edinburgh, has completed an open procedure procurement titled "Variation 1 - Managed Print & Scan Solutions" within the Social Protection industry category. This procurement is part of a broader effort to consolidate print and scan support services under a single agreement for their fleet of devices across 45 sites in Scotland. Initially awarded in March 2025, the process involved a mini-competition under the Scottish Government’s ICT Products Framework. A notable aspect of this contract is the inclusion of support for Kodak S2050 scanners, which aligns with the initial commercial intent. The procurement process concluded with an award to Ricoh UK, formalised on 19 March 2024, with the contract now active. The project carries a funding amount of £1,959,410.48.

This tender presents ample opportunities for businesses involved in the provision of printing and scanning solutions, as well as those focused on maintenance and support services related to multifunction devices. Companies with expertise in managing large-scale device deployments and offering related IT support services, such as Ricoh UK, would find this contract advantageous for growth. The scale and regional focus of this project can drive expansion within Scotland for firms capable of meeting diverse technological needs in governmental contexts. Furthermore, involvement in frameworks like the Scottish Government’s ICT Products Managed Print Solutions could open doors for future collaborations and contracts.

## Notice

Crown Office and Procurator Fiscal Services (COPFS) have a fleet of print/scan devices located in 45 sites across Scotland. The current MFD estate consists of both colour and mono with a variety of peripherals including bridging units, finishing units, etc and the minimum speed ranges from a minimum of 25 pages per minute (ppm) to 110 ppm. This was awarded in March 2025 via mini-competition via the Scottish Government - ICT Products - Managed Print Solutions Framework (SP-21-046) for the leasing of Print/Scan devices and software, including copy costs and associated services. COPFS awarded Ricoh a standalone contract for support of our Kodak S2050 scanners. That contract has now expired, and we identified that the Kodak scanner support was not included in the new Managed Print & Scan Solutions contract. To align with the original commercial intent of consolidating all print/scan support under a single agreement, this variation formally adds the Kodak Scanner Support.
