## Summary

The University of Edinburgh is exploring a student record platform and related student record system capabilities. The intended solution should integrate with the University’s existing technology landscape and could help rationalise and simplify a complex current environment. This process is at the planning stage and is preliminary market engagement, not an invitation to tender or a commitment to buy. The University is seeking supplier information on current and emerging products, technologies, capabilities and delivery approaches to inform its business requirements, strategic planning and any future procurement strategy. Interested suppliers were invited to provide information voluntarily at their own cost by 12 noon BST on 4 September 2026. The University anticipates that a procurement, if taken forward, could take place within the next three to five years; an indicative future notice date is 1 August 2029. Responses will be reviewed to improve the University’s understanding of the market and possible solutions.

This engagement is likely to suit established student records and student information system providers, as well as technology businesses with strong higher-education administration, systems integration and implementation capabilities. Suppliers should be able to demonstrate how their platforms connect with existing institutional systems while reducing complexity across a live operating environment. Relevant experience is likely to include student case management, scholarships, assessment, progression and exceptional-circumstances workflows, together with reliable handling of institutional data and varied user needs. Businesses able to explain different delivery approaches, product roadmaps and options for streamlining services should be well placed to contribute. The early engagement gives potential suppliers scope to shape the University’s understanding of available solutions before any future procurement is developed.

Responses will be reviewed by the University to inform its understanding of the current market, available technologies and delivery approaches. The information provided will support longer-term planning, strategic planning and, where appropriate, any future procurement strategy. This Prior Information Notice (PIN) is issued solely for the purpose of preliminary market engagement. It is not a call for competition and should not be interpreted as a commitment to undertake a procurement exercise or award any contract. Should a procurement be taken forward, it is anticipated that this could take place at any point within the next three to five years. The University welcome participation from all interested suppliers. Participation is voluntary, at each suppliers' own cost and will not affect any future procurement process.. Interested suppliers should send the requested information to Suzanne Toole, Procurement Manager, suzie.toole@ed.ac.uk by 12 Noon (BST) on 04 September 2026.
