## Summary

Royal Botanic Garden Edinburgh is seeking a specialist exhibition fit-out contractor for the newly renovated Victorian Palm Houses in Edinburgh. The requirement covers production design, fabrication, build and installation of interpretative exhibition displays. It includes exhibition structures, scenic model making, small-scale mechanical and electromechanical interactives, electrical design and installation for exhibition units, structural advice, audio-visual hardware supply, site mobilisation and installation. The contractor will also undertake principal designer and main contractor duties, production management and health and safety management. Graphic design, artwork, exhibition data sheets, audio-visual software and real artefacts will be supplied by the Garden. This is a goods procurement covering bespoke exhibition display production and fit-out services.

The buyer invited offers through an open procedure, with electronic submission in English. The tender deadline and bid opening were set for 29 September 2026 at 12:00. The contract is scheduled to run from 9 November 2026 to 17 June 2027. The estimated value is £365,000 excluding any further value arising from options. There is one lot, with an option for additional work if required and a possible renewal if necessary. Bids must remain valid for 90 days. Evaluation is based on quality at 70% and price at 30%. The successful supplier is expected to lead a multidisciplinary design team and work with the project manager on the budget and programme.

This opportunity suits an exhibition fit-out contractor able to combine design leadership, project management, fabrication and installation. Relevant capability includes principal designer and main contractor experience, production design, exhibition structure fabrication, scenic model making, mechanical and electromechanical interactive displays, exhibition-unit electrical works, structural implementation, audio-visual hardware, site mobilisation and installation. The supplier must manage health and safety and produce or manage risk assessments and method statements. Work may be subcontracted or delivered through partners, but the lead contractor must demonstrate previous success in forming and managing multidisciplinary design teams on projects of similar scale and nature. Suppliers should also be able to provide staff names and professional qualifications and coordinate effectively with client-supplied designs, artwork, data sheets, software and artefacts.

PLEASE NOTE AMENDED SPECIFICATION SCOPE AND TIMLINES RBGE would like to commission a specialist exhibition fit-out contractor to work with us to deliver the production design, build and installation of interpretative displays for the Palm Houses. The successful fit-out contractor must propose and then lead a multidisciplinary design team who can provide the following activities, but not limited to (to read in conjunction with the full Scope of Services in the ITT): 1. Principal designer duties 2. Production design 3. Production management including budget and programme working with the project manager 4. Fabrication of exhibition structures 5. Scenic model making 6. Small scale mechanical & electromechanical interactives 7. Electrical design and install (specific to the exhibition units only, exhibition lighting by others) 8. Structural advice and implementation 9. Graphic production (design by others) 10. AV hardware supply (Software design & commissioning by others) 11. Main contractor duties 12. Site mobilisation 13. Installation of exhibition elements 14. Managing and mitigating health & safety including RAMS Not all scope has to be delivered in-house, but the successful contractor must be able to clearly demonstrate previous experience of successfully forming and managing a multidisciplinary design team to deliver successful projects of similar scale and nature. RBGE will supply the following to the successful contractor: - Design intent drawings for all exhibitions elements, including dimensions, location, material and content specification. - Exhibition data sheets for all exhibits, including AV exhibits - Graphic design and artwork files setup to dimensions from drawings supplied by the successful contractor. - Audio Visual software. - Any real artefacts for use in the displays
