## Summary

The University of Edinburgh is planning a university-wide moving, removals and internal relocation service across its buildings, accommodation and wider estate in Edinburgh. The work is expected to cover both reactive and planned activities, including moving furniture, beds, mattresses, white goods, luggage and boxed or fragile items between buildings and to exact locations such as bedrooms and flats. The University expects a subsequent notice to be published on 23 November 2026; this is an indicative date rather than a tender deadline. This will suit removals, logistics, portering and facilities-support contractors able to operate across a large university estate and handle varied loads safely. Useful preparation includes demonstrating capacity for planned moves alongside short-notice reactive work, including an indicative two-hour response for emergencies and four to six hours for standard reactive requests. Suppliers should be ready to handle heavy boxes, beds, mattresses, white goods, furniture and fragile items, as well as packing, room clearances, furniture assembly and waste removal. The University is specifically seeking views on service quality, compliance, sustainability, value for money, mobilisation and achievable response times. Businesses with reliable crews, suitable handling and transport resources, recycling and responsible-disposal arrangements, and experience coordinating access across multiple buildings are likely to be well placed when the requirement reaches the market.

The University of Edinburgh ("the University") is undertaking early market engagement in relation to a forthcoming procurement for moving, removals, internal relocations, packing and associated services across the University Estate. The purpose of this Request for Information (RFI) is to: -Understand supplier capability to deliver the service scope described below; -Understand achievable timeframes (e.g., lead times, response times, mobilisation); -Identify appropriate contract structure, including whether a single-supplier or multi-supplier model would work best; -Identify opportunities to improve service quality, compliance, sustainability and value for money. This RFI does not form part of any formal procurement process and responses will be used solely for market research and to inform the potential procurement strategy and specification. Participation is voluntary and will not confer any advantage or disadvantage in a future procurement.

The contract opportunity is expected to cover the provision of churn / portering and internal moves support, including reactive and planned workstreams, across UOE buildings and accommodation. Indicative requirements may include (but are not limited to -Internal moves of furniture and items between buildings to exact drop-off locations across the University estate, including bedrooms/flats, and collection/return of keys as required. -Packing and careful movement of a range of items to different locations, including heavy boxed items (e.g., crockery boxes), and fragile items where applicable. -Movement of items including heavy boxes, beds and mattresses, white goods/large items, and furniture. -Removal and disposal of unwanted items with recycling where possible. -Stacking and/or unstacking furniture where required. -Clearing excessive rubbish (e.g., room clearances). -Assembly of flat-pack furniture. -Moving luggage on site -Moving mattresses to a central point on the UoE Estate -Removal and responsible off site disposal of all packaging and waste UOE requires a contractor who can accommodate: -Reactive / short-notice capability, with quick turnaround required (indicatively 2 hours for emergencies and 4-6 hours for standard reactive requests).
