## Summary

Argyll and Bute Council is procuring a managed media service and audio-visual system for funeral ceremonies at Cardross Crematorium, delivered across Argyll and Bute. The requirement covers an automated ceremony-media solution, including installation, commissioning, servicing and maintenance of on-site hardware and software. The appointed provider will operate audio, visual, live-streaming and recording equipment, provide dedicated support to venue staff, funeral directors and families, and supply secure ceremony recordings. The service also includes a professional music library, management of music licensing, guidance on accessing live streams, privacy and security information, customer terms and conditions, and an itemised media-services price list. This is a specialist audio-visual services opportunity for funeral and crematorium environments, classified under CPV 51611100.

The procurement has reached tender: the Council invited offers through an open procedure, with electronic submissions. It is a single lot with an estimated value of £70,000. The tender closing deadline was 7 October 2026 at 17:00, followed by bid opening on 8 October 2026 at 09:00 and an evaluation period starting then. The contract is for 1,080 days, with an option to extend by a further 12 months and then another 12 months. Bids must be in English and remain valid for 150 days; variants are not allowed. A recommended site visit was scheduled for 16 September 2026, from 12:15 to 14:15. Electronic payment and ordering are supported, and electronic invoicing is allowed.

This suits an established audio-visual provider able to supply a proven, highly automated crematorium solution requiring minimal manual input from venue staff. Suppliers need the capability to install, commission, service and maintain complete hardware and software systems, and to operate them reliably across more than 800 funeral ceremonies. Relevant operational experience in the UK crematoria industry is specifically required, alongside live-streaming, recording, ceremony audio and visual production, customer support and secure media delivery. The successful provider will also need to manage music-library licensing, advise users on privacy and security, support funeral directors and families, and provide clear service terms and dispute arrangements. Bidders must meet Council health and safety requirements and risk assessments, and set out a plan for delivering requested community benefits.
