Marketing is central to successful sales of all products and services offered here at QAA. QAA sends out a large volume of marketing communications to its customers. Currently this involves a complicated (seven-step) process in our CRM tool that is both time-consuming, resource intensive, and difficult to achieve at very short notice. This process will typically involve several staff from different teams; therefore, it can take a long time to compile, sign-off and send a marketing communication. It also involves IT resource to be able send these communications. If one or more of the IT staff are away from the office, this can affect the ability to pull the SQL reports required to populate the required recipients, create the campaign or to be able to load in the recipients for each of the campaigns. Each of these tasks is currently crucial to enable the issue of the communication/campaign. Similarly, limited technical ability across the business restricts our capacity to create or edit the current set of HTML templates. QAA is considering the purchase and implementation of a specialist piece of software that will enable members from any team within QAA and any technical skill level to be able to create, schedule and issue communications as required. We welcome proposals from potential bidders that can provide a single system solution. The attached Excel sheet details the specifics of our requirements for the marketing solution and your proposal should be based on this information. Please also provide indicative costing to support your proposal. In the first instance, we ask that as much information as possible is provided in response to our requirements. Following assessment of all potential bidder responses, we may ask for potential bidders to provide a product demonstration in an open dialogue workshop to demonstrate their potential solution at a time/date to be advised. This exercise is aimed at making informed decisions surrounding future solutions as part of pre-procurement planning and is an essential step before deciding whether to initiate a full project leading to procurement. This pre-procurement market engagement process in no way obliges QAA to commence with any competitive tendering process. QAA is not and shall not in any event be liable for any costs incurred at any time by any person, natural or artificial, participating in this pre-procurement market engagement exercise.
