Summary of the contracting process

The South Wales Police are currently in the planning stage of a procurement process titled "Supplier Open Day - Property Tracking System". This initiative aims to enhance the monitoring and tracking of property and evidence assets across their central and interim storage facilities located in Wales. Key dates include an engagement end date of 1st August 2019 and a supplier event scheduled for 10:30 AM on 15th August 2019 at the South Wales Police Headquarters in Bridgend. The procurement is characterised by a tender initiation type and focuses on inventory management software, making it applicable to businesses in the technology and software development sectors.

This tender presents a significant opportunity for businesses that specialise in inventory management solutions, database systems, and barcoding technologies. Companies, particularly small and medium enterprises (SMEs) and voluntary community social enterprises (VCSEs), are encouraged to attend the open day to engage with the Police and gain insights into their needs and specifications. With a maximum of two representatives per company allowed, this event is an excellent networking opportunity for suppliers seeking to showcase their solutions and potentially secure future contracts with the South Wales Police.

Notice Title

Supplier Open Day - Property Tracking System

Notice Description

The Police and Crime Commissioner for South Wales are looking to improve its current process for monitoring and tracking property and evidence assets within its central property stores and Interim stores located around the South Wales Police Force area. The property and evidence the store holds varies greatly and includes refrigerated items. The Commissioner would like to implement technology such as RFID to help the monitoring and tracking of the assets held. However due to the varying systems and technologies available and the nature of the stores compared to conventional stores we will be holding an open day with interested suppliers to help the Commissioner develop an understanding of what technology and systems are available on the market, what considerations and limits we would need to consider. We will use the information to help us create a business case and a specification before looking to publish an open tender in the future. The supplier day will consist of a presentation from South Wales Police (outlining the current process and set up in the stores, 360 degree videos/maps of the stores area, the aim of the requirement and the ICT requirements suppliers need to consider etc.), there will be an open forum for questions for all parties and following this, there will be an opportunity for all in attendance to have a five minute 1-2-1 meeting with members of South Wales Police. Date: 10:30am on the 15th August 2019 Venue: South Wales Police Headquarters, Bridgend, CF31 3SU Places will be allocated on first come first serve and a maximum of 2 spaces per company. For security purposes names will be needed for the gatehouse for access to the Headquarters. Any people who arrive who are not named on the booking form/email will not be allowed entry.
