Summary of the contracting process

The University of Bristol is currently in the planning stage for a procurement process titled "Room/Asset Booker" aimed at acquiring a software package to streamline the booking of various resources across its buildings. Classified under the industry category of "Software package and information systems," this opportunity is centred around simplifying the current fragmented digital booking landscape at the University. The engagement end date for this market research phase is 8th July 2025, with the location specified as Bristol, South West, United Kingdom. The procurement process is initiated as a tender and seeks early market engagement to better understand available tools and define requirements, potentially limiting participation to suitable providers responding to this notice.

This tender presents significant opportunities for businesses specialising in software development, particularly those offering innovative booking solutions for diverse types of resources. It is well-suited for SMEs interested in expanding their market reach by providing a tool that is accessible to different user categories within an educational context. Both current software providers in resource management and new entrants with capabilities in integrating various booking systems can benefit from responding, offering a chance to influence the requirements and procurement route chosen by the University of Bristol and gain a foothold in an academic setting.

Notice Title

Room/Asset Booker

Notice Description

Room/Asset Booking System The University of Bristol (UoB) currently uses various systems to book different types of resources across all our buildings. The proliferation of systems is historical and due to a combination of factors such as the type of bookable resource (rooms, desks, study space, equipment, car park, labs...), who is the person requesting the booking (differences if staff or students), or who owns the resource with schools and departments independently managing their own systems. Our intention is to simplify this digital landscape with a single tool that can be accessed by various types of users, in various locations and for the purpose of booking a variety of resources. Please see attached documents that provide a High Level Overview of our Requirements and a response document that will enable us to better define our requirements. This Early Market Engagement is to get a better understanding of the Tools that are available in the market place, to better define our requirements, to understand what is possible and decide the most appropriate route to Market, it may not result in a Public Tender it may be restricted to suitable Providers who have responded to this Notice. Please note the University Of Bristol is not a Contracting Authority as defined by PA2023 Additional information: The following documents will provide a better understanding of our requirements. We would be grateful if you could take the time to complete and return the Requirements Spreadsheet to purchasing-office@bristol.ac.uk
