FRAMEWORK FOR THE SUPPLY OF EVENT SERVICES INCLUDING EQUIPMENT AND EVENT STEWARDING
Notice Description
South Tyneside Council wish to establish a framework agreement for the supply of event services including equipment and event stewarding. The framework agreement will be divided into lots and approximate values of each Lot are provided below: - Lot 1 - Barriers - PS10,739 p.a. Lot 2 - Large Festival Stage - PS31,000 p.a. Lot 3 - Big Screens - PS15,900 p.a. Lot 4 - Temporary Toilets - PS37,800 p.a. Lot 5 - Temporary Offices and Storage - PS8,578 p.a. Lot 6 - PA Systems for Outdoor Events - PSPS39,240 p.a. Lot 7 - Lighting for Outdoor Events - PS7,128 p.a. Lot 8 - Marquees for Events Outdoor, Tables & Chairs - PS11,664 p.a. Lot 9 - Radio Systems - PS2,405 p.a. Lot 10 - Event Stewarding - PS30,672 p.a. Lot 11 - PA, Lighting & AV Provision Indoor Events - PS7,668 p.a. Lot 12 - Mobile Stage Package, Small Events - PS4,000 p.a. Suppliers can bid for one or all Lot(s) It is envisaged there will be a maximum of 3 suppliers for all Lots dependent on the number and quality bids received. The 3 highest scoring suppliers will be ranked on each Lot. Direct Award - for services of and identical or very similar nature to that already priced, it is intended that this work will be directly awarded to the first ranked supplier. In the event that they are unable to carry out the work it will be awarded to the 2nd ranked supplier, then 3rd ranked supplier. Further competition - for services where direct award is deemed not appropriate, e.g. it is not of similar nature to priced at set up of framework. Such competition will be subject to lowest price. The Framework Agreement will be drawn down by way of purchase order. The quantities and figures provided [in the invitation to tender], are estimates only and are not to be taken as actual or guaranteed quantities. The actual quantities of equipment or services required may vary, and no warranty or representation is made as to the accuracy of the estimated figures.

LARGE FESTIVAL STAGE FOR OUTDOOR FESTIVAL EVENTSSouth Tyneside Council require the provision of temporary demountable structures, including stages, for the delivery of the annual event programme. The requirements will vary depending on the event. Provision of Outdoor Festival Staging
Renewal: 3 years with options to extend for a period of up to 1 x 12 months
BIG SCREENSSouth Tyneside Council require the provision of temporary demountable structures, including large outdoor screen, for the delivery of the annual event programme. The requirements will vary depending on the event.
Renewal: 3 years with options to extend for a period of up to 1 x 12 months
TEMPORARY TOILETSProvision of chemical toilets for hire at mass events The equipment provided must meet relevant industry standards. Under the Disability Discrimination Act 1995* suitable sanitary facilities will be made available and must be fit for purpose and accessible.
Renewal: 3 years with options to extend for a period of up to 1 x 12 months
TEMPORARY OFFICES & STORAGEProvision of accommodation, storage and welfare units at mass events South Tyneside Council require suitable and adequate anti vandal storage and office units for use at the large-scale events. The above DO NOT require furniture

PA SYSTEMS FOR OUTDOOR EVENTSProvision of PA systems for outdoor events South Tyneside Council require the provision of high-quality PA systems for use at outdoor events. The requirements will vary depending on the event and could be stand alone or built into a stage rigging system.
Renewal: 3 years with options to extend for a period of up to 1 x 12 months
LIGHTING FOR OUTDOOR EVENTSSouth Tyneside Council require the provision of temporary lighting for use outdoor. To include stage and stand-alone effects. The requirements will vary depending on the event.

MARQUEES FOR EVENTS OUTDOOR, TABLES AND CHAIRSProvision of Marquees for Events South Tyneside Council require the provision of temporary demountable structures, including marquees, tables and chairs for the delivery of the annual event programme. The requirements will vary depending on the event requirements
Renewal: 3 years with options to extend for a period of up to 1 x 12 months
RADIO SYSTEMSTwo Way Radio Systems Provision of back to back radios for use at events South Tyneside Council require the day hire of a suitable radio system for a variety of events.

EVENT STEWARDINGSouth Tyneside Council deliver a wide programme of event activity throughout the year which requires stewarding support. The contractor appointed to deliver this support must be a Security Industry Authority (SIA) approved contractor. The roles along with the minimum level of qualifications required are:

MOBILE STAGE PACKAGE, SMALL EVENTSProvision of Staging for Small Events South Tyneside Council require the provision of temporary demountable structures, including stages, for the delivery of the annual event programme. The requirements will vary depending on the event.
