Summary of the contracting process

The University of Plymouth is currently in the planning stage for a public procurement process titled "Exam Timetabling". The project aims to enhance examination scheduling through better data integration and automation, focusing on potential software solutions. The procurement is categorised under information technology services, with specific interest in scheduling software packages and associated development and support services. This initiative is set in Plymouth, Devon, with an engagement milestone scheduled for 28th October 2025. Suppliers are invited to express interest and provide insights into their product offerings, particularly focusing on functionality, cost, and implementation models, as the University prepares its business case for funding.

This procurement provides a significant opportunity for businesses involved in IT services, especially those specialising in scheduling software and related services. Companies capable of delivering scalable IT software solutions with a strong emphasis on data integration and automation are well-suited for this tender. The potential scope for collaboration extends to small and medium enterprises, given the contract's consideration for SMEs. With a contract period anticipated to start on 30th October 2025, suppliers have the chance to influence the project's technological direction and secure a valuable partnership with a prominent educational institution.

Notice Title

Exam Timetabling

Notice Description

The University wishes to operate examination scheduling within a more integrated team with significant data integration and greater automation. Therefore, we need to understand the potential offered by current software products in the market to support achievement of these objectives and wish to engage with suppliers in order to: Gain an understanding of functionality (see key requirements below) and potential benefits to be gained from use of the system/service. Gain an understanding of the scale of cost associated with both purchase and implementation. On this basis we will then be building a business case for funding for submission to our internal planning process ahead of a possible procurement process. We are seeking expressions of interest from suppliers describing their product set in this space and, ideally, licensing and cost models as well as typical implementation costs. Please see additional information attached to the notice on Mercell. At this stage we are scoping the budget of this provision, so no cost is associated to this notice at this stage.
