Summary of the contracting process

The Natural History Museum sought a supplier for a retail merchandise management system supporting its retail operations. The requirement covered software licensing, associated hardware, implementation, system configuration and ongoing support. Evaluation at the second stage was to cover quality, price and social value, with economic and technical selection requirements. The procurement was cancelled and abandoned on 7 August 2026 because the intended contracting entity was Natural History Museum Trading Company Limited rather than the Natural History Museum.

This opportunity suited small and medium-sized enterprises with experience delivering retail merchandise or point-of-sale management systems. Strong candidates would be able to supply and configure point-of-sale and business transaction software, provide associated hardware and manage implementation into a retail operating environment. The requirement also favoured suppliers with the capacity to provide ongoing technical support and software licensing for a long-term service arrangement. Systems integrators, retail software developers, point-of-sale equipment providers and specialist support partners could have been relevant, particularly where they could demonstrate the ability to deliver an integrated solution rather than a standalone product. The two-stage process required an initial tender and, for shortlisted participants, a further tender involving a site visit and presentations or demonstrations.
