The Supplier shall provide the Trust and ESOS Energy with access to billing, consumption and account information for all sites included within the contract. Invoices shall be issued electronically in PDF format. Tenderers must confirm whether they can provide consolidated billing across the Trust portfolio, site-level billing, or both consolidated and site-level billing. As a minimum, invoices must identify the relevant site, account number, meter point administration number (MPAN), billing period, meter readings, consumption, applicable rates and charges, VAT, total amount payable and payment due date. Where an online billing portal is available, access shall be provided to both the Trust and ESOS Energy. The portal should support invoice downloads, consumption reporting, meter read history, billing query tracking and visibility across the Trust's sites. The Supplier shall provide consumption and billing reports at least monthly, unless otherwise agreed with the Trust and ESOS Energy. Reports should show site-level consumption, cost, meter read status, exceptions and outstanding billing queries. Estimated reads must be clearly identified on invoices and reports. The Supplier shall work with the Trust and ESOS Energy to resolve estimated reads and issue corrected invoices or credit notes where required. On request, and at the end of the contract, the Supplier shall provide historic billing and consumption data for the Trust's sites in a usable electronic format to support contract management, audit, re-procurement and transition to any replacement supplier."

"riskDetails": "Failure to secure renewal contracts on time - resulting in sites entering deemed or out-of-contract tariffs with significantly higher costs. Incorrect site or meter data - leading to billing errors, failed supplier registrations, incorrect consumption profiles and contract disputes. Billing inaccuracies - incorrect tariffs, consumption charges, CCL, standing charges or pass-through costs resulting in financial loss and increased administration. Supply disruption during supplier transfer - delays or errors during contract renewal or meter registration causing operational issues. Poor account management - slow response times, inadequate escalation procedures and lack of proactive issue resolution. Inadequate consumption monitoring - failure to identify unusual usage patterns, faulty meters or opportunities for energy savings. Metering and data collection failures - missing meter reads, AMR issues or delayed meter installations affecting invoice accuracy and reporting. Wholesale market volatility - poor procurement timing or ineffective purchasing strategies leading to higher energy costs. Regulatory non-compliance - supplier failure to comply with energy market regulations, reporting requirements or industry codes. Weak management information and reporting - insufficient contract performance reporting preventing effective governance and oversight by the Trust. Business continuity failures - lack of resilience arrangements, creating service risks if key supplier personnel or systems become unavailable. Carbon and sustainability reporting issues - inability to provide accurate consumption and emissions data needed for Trust reporting requirements."
