Notice Description

Wrexham County Borough Council is looking to engage with the market to understand potential options, offerings and routes to market for a digital booking software solution. Any suppliers interested and capable of providing a suitable solution should email procurement@wrexham.gov.uk by 5pm on 25th February 2025 with an overview of their offering.Following receipt of responses, the Council may invite Suppliers to demo their offering to assist the Councils understanding - no guarantee is given as to the number of Suppliers to be invited (if any).The Requirement:A space management technology system that creates a seamless booking experience for all users.Initially it is intended for use with the Old Library building which is currently in the process of being redeveloped into a Creative Hub, but long term the solution should support expansion into other buildings such as Ty Pawb, Museum, Markets, memorial hall etc.The solution will support employee collaboration and smarter property decisions with real-time data all under one platform. The solution will also support the the efficient management of building workspace, flexible memberships for office / agile workspaces and other solutions that promote flexible working, thus supporting cost savings through more efficient use of available space and properties/buildings.The booking system needs to be able to support the following operational delivery for the Old Library;- Hot-desking/co-working,- Leases for offices;- Team plans;- Meeting rooms;- Invoicing;- Invoicing for catering - tea / coffee- Ability to register booked flexible spaces by providing a pin code when users enter the premises- Customer management system- Creating plans for membership- Can integrate with website and offer members a membership page and accounts page- Can integrate into an app form- Take enquiries on this programme- Book a dedicated space in the open agile flexible space on ground floor & first floor. Including access to professional amenities, and meeting rooms- Book private office space that does not have tenant - have optional add-ons to select- Book co-working space or private offices by the day, hour and meeting rooms by the hour- Portable app - Android, Windows + Apple- Multilingual - English and Welsh- Internal membership chat function- All clients broadcast notification function
