The system is currently being used to manage access to 20 locations including swim and sport centres, golf courses, an ice arena, a wildlife centre, gymnastics centre and an outdoor activities centre. The system should work on a "Thin Client" basis and will be hosted on the DCC servers or via a hosting service provided by the company, enabling multi-site configuration and system management

Dundee City Council are seeking interest from providers of leisure management systems. The system is currently being used to manage access to 20 locations including swim and sport centres, golf courses, an ice arena, a wildlife centre, gymnastics centre and an outdoor activities centre. The system should work on a "Thin Client" basis and will be hosted on the DCC servers or via a hosting service provided by the company, enabling multi-site configuration and system management. The services to be provided will include the following functionality. Functions Bookings - the ability to process and pay for facility hires and activity bookings at each of the locations as well as online Till Point Of Sale - the ability to operate a fully configurable point of sale to record and make payments for all activities and bookings as well the provision of POS hardware including touch screens, cash drawers, card readers and receipt printers. Chip and Pin - The provision of chip and pin services to include the hardware and function to process contactless payments Electronic Funds and Transfer - ability to set up and collect direct debit payments and to manage direct debit rejections Financial - ability to manage financial information relating to usage of the facilities including invoicing system to integrate to DCC Civica financial systems. Loyalty - ability to introduce a loyalty scheme for regular users of the facilities to be rewarded for high frequency of usage. Members - ability to maintain an extensive membership database with all membership subscription, usage and financial information relating to each individual member being easily accessed and managed. Member information should also include the ability to apply membership card via mag swipe or smartcard and member records should also include a photograph, which will display upon the membership card being swiped. Online Memberships - the ability for customers to register to make online bookings as well having the ability to process their membership online including uploading processing payments setting up direct debits and adding a photograph to the member record. Stock management - the ability to operate a stock control system recording all sales, returns, reorders etc Marketing - the ability to undertake and record questionnaire information from customers as well as the ability to communicate with customers directly and easily via email, mobile and establish links to social media via booking systems Reporting - the ability to produce income and usage reports in various formats with the ability to export information enabling personalisation of reports Kiosk - the provision of kiosks enabling the processing of admissions on a fast-track basis Class and Course Management - the ability to capture information for adults and children including emergency contacts, medical information etc. This should also include the management of classes and courses enabling the production of class registers, clear lines of progression through identified levels and the ability for parents to be kept up to date with children's progress. In addition there should be capabilities to record information remotely, including admissions and attendance e.g. where activities are being provided in outdoor areas Maintenance and Support Facilities can operate from 6am to 10pm Monday to Friday and 8am to 10pm at weekends. System software and hardware maintenance and software support should be provided during all opening hours of the facilities. Operating systems should be subject to regular development and upgrading work to ensure that technological, regulatory and future needs are met e.g. Window updates and modification to IOS operating systems, changes to PCI requirements etc
