Introduction & Background The Main Aim and Purpose of this Tender is to select a Service Partner to maintain various items of laboratory equipment found within Building Nine's laboratories on behalf of our client Scottish Enterprise. Scope & Services Within Nine we have a number of laboratories with Landlords Life Science Equipment within. These items include Non Water Units such as Autoclaves, Class II Safety Cabinets, and Laminar Flow Cabinets & C02 Incubators & Pure Water Systems such as Barnstead's, Duo's & Water Tanks. A complete Asset register of all can be found within Appendix 9. We expect the Preventative Maintenance Contract to include the following - Two Scheduled Visits per year - Completion of manufacturers recommended preventative maintenance - Calibration of equipment such as meters, CO2 sensors etc. Where necessary - Full system diagnostic check - If required, fitting of replacement of consumables - Fitting of replacement parts - Issue of electronic report for each visit - The cost for Consumables should only be included for Year 1 - The winning tender must be able to provide Emergency call out cover. This level of cover has been provided historically within the service contracts relating to Building Nine and has been used on more than one occasion. - We request that anyone tendering for the service contract has the technical training and ability to service the Systec Autoclaves. To be qualified in this regard the service provider needs to have received training at the Systec facility in Germany or from a fully certified Systec engineer. Evidence is requested. Outputs & Milestones - The envisaged start and end dates of the contract - 1st April 2019 - 31st March 2024 - Further details in regards to meetings and can be found below under contract management Contract Management - 2 Scheduled site meetings will occur after each of the service visits at Nine by the operations team to discuss any remedial works requiring completed - Site Management requires a Quarterly Report showing PPM, Reactive and Outstanding works. Reports should include costs, locations, items and a summary on the current circumstances. - Site management requires an annual reconciliation on spend throughout Nine in regards to reactive works. - The following Key Performance Indicators will be measured: - Time targets - Helpdesk, Technical Desk & Field Technician - Level of Response. - Labour & Repairs - Quality of service - Availability and Resources - Sustainability requirements - Communication (Colliers CAFM System Elogbooks must be adopted and used for tasks. The winning tender would be expected to sign up and use) - Warranties - Preventative Maintenance Visits - Asset Management - Account Management - Management Reporting. Provide your H&S Policy and recognised Safe Contractor organisations you are a member of One Months' notice shall be provided if required during the period of the contract Access to Building Nine via facilities@ninebioquarter.com Nine is manned 24/7 and parking is available
