Notice Description

The University is looking to appoint a single supplier for the provision of audio transcription services across the University Campus.

Lot Information

Lot 1

The University is seeking a contractor for the provision of Audio Transcription Services for various purposes including but not limited to interviews and focus groups. The recordings may be conducted face to face or by telephone/skype. The audio files will typically be uploaded to the successful contractor's online portal however there may be requirements when tape or disk recordings will be sent through the postal services to the successful contractor for transcription. The University expects that the audio files will be stored in a separate account specifically for the University only. The services may be required in the transcription styles below: - Intelligent Verbatim: - Editing out the fillers and repetitions - Verbatim: - Exactly the way it has been spoken Turnaround requirements shall vary depending on faculty/department. The standard requirement shall be 5 working days. The University may have more urgent requirements or they may consider extending turnaround times where it is advantageous. The University will confirm the turnaround requirements at the time of posting or uploading the audio file. The University client must be informed immediately if the specified deadline is unlikely to be met or if any instructions cannot be complied with. The successful contractor must be able to identify participants in various settings. Some recordings may have 11+ participants. Recordings will be excellent quality (no background noise and/or no strong accents). Upon receipt of the recording the successful contractor will check the quality of the recording to satisfy themselves that it falls within the definition. Where the successful contractor is not satisfied, they will notify the University prior to commencing the work. There may be times when a recording is provided in an unusual format. The University would expect the successful contractor to convert this at no charge and make a copy available to the University. The successful contractor will be required to list suitable audio formats required. The successful contractor will be required to provide transcription services for various audio lengths depending on the requirement. These may vary from a few minutes to 1 hour long recordings. Occasionally, recordings may exceed 1 hour. Please refer to Appendix D - Specification for further detail of the requirement.. Economic operators may be excluded from the competition if they are in any of the situations referred to in Regulation 58 of the Public Contract (Scotland) Regulations 2015. Please see the ITT contained on the PCS project relevant to the procurement and the other tender documents for further information.

Renewal: 2 x 12 month extensions available subject to agreement by both parties.
