Fleet Management System
Notice Description
The fleet management software currently in use is no longer supported on the Scottish Governments in house network, has reached its natural end of life and must now be replaced. As such, SG wishes to enhance its current capabilities through the introduction of a new, cloud-hosted, Fleet Management solution.

The Scottish Government (SG) requires fleet management software for the accurate and efficient management of its vehicle fleet and all associated operations. The solution will be an existing "off the shelf" system which must have a proven track record for efficient and flexible management of fleet vehicles, and the capacity to enable complete and detailed management of a fleet of 250 vehicles of all classes while also providing the ability to increase capacity should the fleet expand in future. The system will have an intuitive, user-friendly interface and will provide up to five SG users full access. It will also provide direct recorded notification and liaison with local suppliers, garages and appropriate Scottish Government staff across the breadth of Scotland. All historic and current fleet vehicle data must be accurately migrated to the new fleet management system as part of the implementation process. It must be possible to easily integrate data from external sources such as fuelling and EV charging vendors. Also required is the ability to record and upload vehicle mileage, maintenance records and compliance documents as well as fuel/electric card usage and costs. Any successful system will enhance, improve and simplify the management and operational capability of the SG vehicle fleet, streamline communications and deliver flexible data analysis and reporting capabilities to provide a full and flexible fleet audit.
Renewal: Option to extend contract by 12 months.
