Summary of the contracting process

The University of Edinburgh is currently conducting a tender process for "Timetabling and Exam Software (SaaS)" as part of their efforts to implement a new cloud-based timetabling solution for both teaching and examinations. This procurement falls under the services category with a total contract value of £2,260,000. The tender process, which is in the active stage, allows electronic submissions and has a closing date for submissions set for 1st August 2022 at 12:00 UTC. The implementation of the new system aims to enhance business service continuity for approximately 35,000 taught students, providing scalability and flexibility in timetabling needs across various campuses in Edinburgh, including the Central Campus, Easter Bush, BioQuarter, and Western General Hospital Campuses.

This tender presents a significant opportunity for businesses specialising in software as a service (SaaS) and educational technology solutions to expand their market presence. Firms with experience in developing comprehensive scheduling systems and a proven track record of delivering projects for educational institutions would be particularly well-suited to compete. Given the scale and critical nature of the project, bidding companies should be prepared to demonstrate their capacity to meet rigorous selection criteria, including the provision of recent audited accounts and financial stability ratios, while also adhering to a contract period that may extend to 12 years with possible renewals.

Lot Information

Lot 1

The University wishes to implement a new, cloud based timetabling SAAS for both teaching and exams. The current solution which was procured in 2011 is nearing end of life.
