Legal Case Management System
Notice Description
South Lanarkshire Council Legal Services are looking to replace their current case management system. The current system is used by around 30 users in a paperlight office to manage all areas of legal work, with in the region of 1400 cases live at any one time. The range of work carried out and which would be managed by the case management system includes general advice, contracts and procurement advice, litigation and property work. The new system should be capable of securely managing and storing cases, documents and e-mails with the ability to time record, link to calendars, produce management reports and document bundles. It should also be capable of auto-populating documents and allowing for processes to be created. The ability to support agile working is essential.

The aim of the pre-market engagement is to better understand supplier's legal case management offerings and for them to provide assurance and confidence that they can effectively deliver a high-quality system which is critical to the workings of South Lanarkshire Council. The supplier's system must offer the ability to work collaboratively on cases which will involve multiple stakeholders. Individual cases will often require a very high volume of documentation and the system must effectively manage this requirement whilst also providing effective and dynamic tracking of cases and their associated actions. Supplier's systems would ideally be cloud hosted thus offering the Council a more modern and flexible way to manage legal cases than the approach currently enjoyed. As South Lanarkshire Council's legal team primarily utilise the calendar functionality within MS Outlook to manage diaries, it would be beneficial if the supplier's Legal Case Management system could integrate fully with MS Outlook. Given that case management can frequently involve repetitive tasks, the streamlining of these through the use of workflow or RPA would be advantageous.
