The Council's Finance and Resources Service are seeking to procure a new insurance claims management system to hold insurance policy information and manage the reporting, recording, processing and overall management of all related insurance claims received by the Council and its associated bodies.

The Council's Finance and Resources Service are seeking to procure a new insurance claims management system to hold insurance policy information and manage the reporting, recording, processing and overall management of all related insurance claims received by the Council and its associated bodies. Three systems are currently being used to support claims management (Outlook, an MS Access database and the corporate records management system). The MS Access database is still functional. However, it does not enable effective workflow and is limited in respect of reporting functionality. Having to work across three channels with little to no interaction between them is at best resource intensive and at worst, totally inefficient. The aim is to replace the current set up with a single integrated system. Data migration of historic information and records will be required as we need to maintain a 10 year claims profile history to support future insurance tenders. The Council's Risk Manager has drafted a comprehensive list of requirements which detail the mandatory and desirable functionality the Council needs in a new insurance claims management system which will be included in the tender documentation. The Council seeks to conduct a below GPA threshold open tender to award this Contract. 3. It is anticipated that the contract will commence on the 1st August 2024 and will expire on the 31st July 2029 with the option to extend the Contract for 3 years until no later than 31st July 2032, plus an additional 2 year extension thereafter until no later than 31st July 3034. Any extension will be at the sole discretion of the Council.

Renewal: Two extensions at sole discretion of the Council. 1st extension for 3 years. 2nd extension for a further 2 years.
