Notice Description

Midland Heart requires a management Agent to manage and advertise our commercial property portfolio. The duties required include but are not limited to: o Marketing properties o Rent collection and liaison with Midland Heart regarding receipts, arrears, and other such queries. o Manage rent reviews on behalf of Midland Heart. o Maximise income from the portfolio. o Provide proactive advice to Midland Heart to minimise voids. This will include providing advice regarding alternative uses of the building where a property has low demand from tenants and/or has been void for some time. o Tenant liaison (including attendance at tenant meetings) o Receiving maintenance calls and other queries from tenants and resolving issues using agreed protocols or contractors o Dealing with tenant applications for alterations, assignments and sub-lettings o Liaison with solicitors o Ensuring tenant compliance with lease covenants o Maintaining property lease records internally and ensuring Midland Heart have up to date records. o Carry out and record property inspections for all void properties in line with Midland Heart's insurance policy. o Carry out agreed health and safety inspections of leased properties to ensure tenants are complying with relevant Regulations and not placing at risk the health and safety of neighbours or the public. o Service charge budgeting and reconciliation o Service charge collection o Advising/supervising property repairs maintenance o Negotiating and agreeing terms for new tenancies of void properties o Arrange for EPC and lease plans. o Manage void property costs. o Representing Midland Heart in arbitrations / court proceedings o Apportionment and collections of insurance premiums o Monthly reporting of portfolio performance- both operational and financial. o Monthly reporting on rent arrears / lease / property information o Preparation of annual income and expenditure budgets, budget forecasting o Valuation advice o Carry out rates valuations. o Ensuring all properties have current gas safety certificates / fire risk assessments and asbestos surveys. o Coordination of access for Midland Heart contractors o To manage Non-Domestic Rating issues arising within Midland Heart's commercial and office buildings. o To liaise with the local Valuation Offices and Authorities regarding NDR matters. o To complete applications for Charitable Relief where appropriate. o To lodge appeals against NDR valuations where appropriate. o Assistance with the development of the Commercial property annual budget. o Ensure all Tenant's lease obligations have been complied with. These services will be required to manage the commercial properties outlined in the tender documentation
