Summary of the contracting process

Leeds Teaching Hospitals NHS Trust is exploring a real-time location system (RTLS), also known as a real-time tracking system. The technology would automatically identify and track the location of assets, equipment and inventory, and potentially people, to support the Trust’s operational needs. The engagement covers solutions available in the market and their capabilities; it is intended to help the Trust refine its requirements and consider how a future procurement might be structured. The Trust operates hospital sites across Leeds, including Leeds General Infirmary, St James’s University Hospital, Seacroft Hospital, Wharfedale Hospital and Chapel Allerton Hospital. The requirement is for a software and information system solution, with the potential for deployment across multiple hospital sites.

This process is at the preliminary market engagement stage, before any formal procurement or tender. The Trust plans a virtual supplier webinar on 11 November 2026, from 1pm to 3pm, via Microsoft Teams. Suppliers wishing to attend are asked to email their organisation name, the names of up to two attendees and each attendee’s email address; the Trust will then send the meeting invitation. The engagement is intended to gather supplier feedback and market insight to inform the Trust’s requirements and potential procurement strategy. The engagement end date is 19 October 2026. No formal procedure, tender timetable or contract term is set out. The listed value of £1 is a placeholder, not a usable estimate of the future contract’s value.

This engagement is relevant to suppliers that develop, supply or implement real-time location and tracking systems, including solutions for locating hospital assets, equipment and inventory, and potentially people. Suppliers with experience deploying these systems in complex healthcare environments may be well placed to explain how their technology could support hospital operations across several sites. The Trust is seeking to understand current solutions, technologies and supplier capabilities, as well as feedback to shape its requirements and future procurement approach. Small and medium-sized businesses and voluntary, community and social enterprises are marked as suitable. This is an opportunity to contribute market knowledge during preparation, not to submit a tender; taking part or not taking part is stated not to confer an advantage or disadvantage in any later competition, and the Trust has not committed to proceeding with one.
