Summary of the contracting process

Aston University is seeking input for a Contract Management System through a preliminary market consultation process. The purpose of this consultation is to understand how potential suppliers may help monitor, manage, and control contracts. The Procurement Team currently uses an Access Database for contract management but seeks enhanced functionality for KPIs, SLAs, and supplier compliance. The engagement end date for this consultation is set for July 15, 2024. The university is looking for suppliers who can provide insights into the delivery of the product/service.

This opportunity is suitable for small and medium enterprises (SMEs) interested in providing software packages and information systems. Potential suppliers should be able to address the specific needs of Aston University related to contract management. The procurement process is currently at the planning stage, offering businesses the chance to engage early and influence the future specifications of the system. Businesses with expertise in software development and contract management solutions are well-suited to compete for this contract.

Notice Title

999 - Contract Management System (Preliminary Market Consultation)

Notice Description

The purpose of this PMC is to seek input from potential suppliers within the market, to establish how Aston University may use a Contract Management System to monitor; manage and control its existing and future contracts. The PMC will provide an opportunity for Aston University to obtain an insight into how potential suppliers might approach the delivery of this product/service and gain an understanding into the likely level of interest from the market. The intention is to review the responses from the market, to support the development of any future specifications or requirements. Proprietary information will not be included from individual respondents. At present, the Procurement Team maintains a contract register in an Access Database. This has been created internally, and whilst this enables Procurement to monitor contracts it has sourced, it has limited functionality in relation to KPIs; SLAs; supplier compliance; sharing of contract documentation and notifications of contract expiry and extensions.
